Please note that we are only expecting to make a few improvements to Archie for the moment. Our resources need to be focussed on advancing other critical projects, such as RevMan. Your suggestions are still very welcome and will be collected, but they are not likely to be implemented in the immediate future.

  1. Ability to assign a new person to a task in the 'Insert task' window

    When inserting a task into a workflow 'on the fly', quite often it is to seek advice from someone who isn't otherwise connected with the workflow (and hence isn't already listed under the 'People' tab of the workflow as a CRG advisor or referee). This means that after clicking 'insert task', you have to go back out of that screen and go to the 'People' tab to add the person as a CRG advisor or referee, then go back to 'Task' tab and insert task again.       • Review version number should be included in a review file name

        When attaching review versions to a workflow task email, you can choose the version you wish to attach and the version number is displayed in the field to confirm the version you are about to send to a recipient of a task, the version number is not provided in the attachment which is received by the recipient and the system doesn't record which version was attached to the email. If this is the case, it would be helpful if the attachment could provide the number of the version that was sent and the system records the version that was attached…

        • Permanently tick Notify the manager when task is complete when sending

          At the moment when sending workflow task emails with ticket links you first have to open the task and tick the "Notify the manager when task is complete" option under the Email tab before you send the email. It would save this step if we had the option to have this box permanently ticked in the same way as the "Notify the manager if task becomes overdue" is permanently ticked. Another possibility would be to include this option in the Edit Notifications in a person's property sheet.

            Thanks, can you clarify how often you need this, and the story behind needing it? Are most task that involve tickets not immediately followed by a task for the Manager or Editorial Base (so you get notification when your own task becomes active)?

          • Highlighter tool for use in workflow email templates

            Ability to highlight sections of email templates that need to be changed each time the email is sent out. It is currently difficult to easily identify those sections.

            • Send automatic workflow system reminders to all authors, not just contact person

              When Archie sends task reminders they go only to the Contact person who is not always the most appropriate person to receive them.

              • Add possibility to insert decision tasks in workflows

                I want to be able to create bespoke decision tasks in the workflows.

                As an ME I want to be able to insert a decision task for a statistical editor for them to check that statistical advice has been appropriately incorporated, so that I save having to fudge it by asking them to make comments in the history and the process is more intuitive for them.

                • Update the Editing task emails to reflect the new Brand name for CRGs

                  We have adopted new Brand identities - no longer Cochrane Wounds Group but now Cochrane Wounds.
                  However the email templates in the Workflow have a field "ENTITY NAME"
                  could this be updated to remove the "Group" and this means we don't have to amend each task email when sending.

                    • Inserting tasks in workflows with later start dates

                      Can we have an option for inserting tasks into workflows which have a stat date after the current task, and an end date before the current task?

                      i.e. If I want to insert a task to remind authors/follow up with authors on progress. I have to insert a parallel task along side the task to submit the review draft, but the start date is unchangeable meaning I constantly have this as an active task in my task list/organiser, when I would actually like it to start later

                        In consultation with ME Support, we have realised that this is partially feasible in the current system. Firstly, it is possible to set-up email notifications to be sent to both manager and assignee on a particular date in advance of the task’s due date.

                        If a separate task is needed this is possible as long as you are inserting it in parallel to a single task. It is possible to do the following (providing you follow this exact procedure):

                        1. Use ‘Insert Parallel Task(s)’
                        2. Insert the task that you want to add at a later stage and click ‘OK’
                        3. Right click on the task you just created and use ‘Insert Task(s) Before’
                        4. Choose the ‘Pause Task’ and set ‘Duration’ to the desired delay
                        5. Click ‘OK’ and accept the confirmation dialogue

                        This is a clumsy solution, but there is currently no easy fix for this problem. There…

                      • I want to be able to schedule search updates in the workflows

                        As a TSC, when I have completed the task 'perform literature search' for a new review, or 'update literature searches' for a review update,I would like to be able to schedule the next search to appear as a task in my organiser. I would like to be a be able to select a time period (e.g 6 months, 12 months) for when the next search should be performed.                           As a managing editor, I frequently need to update a workflow template when a new policy is announced or to fine-tune working methods. I would like these changes to be applied to all in progress workflows to make sure that each review gets the benefit of those changes to the template from that moment forward.

                              For example, drag and drop function or 'move to' function. Currently it is not possible to move files from entity files to review files and from review files to workflow files at all.

                              • Sort options for Tasks in Progress (Organizer)

                                As a TSC I work with the review number. The highest priority for my work are not necessarily the ones that started first. I also keep a separate list containing requests from authors. It would be much easier to find task to mark as completed if I had the choice of reordering the task list by review number and review name. It would also mark cross checking my 2 lists easier.

                                • Enable 'RevMan Notes View' pdf version to be attached to ticket

                                  As an ME, it would be helpful if the 'RevMan Notes View' version of the pdf could be automatically attached to ticket emails, upon request. Currently, I have to download the pdf, select 'RevMan Notes View', save it locally, and then attach it to the ticket. This could be a useful function when sending tickets to editors who may not be accessing RevMan directly, and it will save me having to re-write my notes again. Thanks!

                                  • the ability to 'view' documents stored in the files tab of a workflow

                                    I would like to be able to simply view a document that is stored in the Archie workflow files. At the moment I have to download it to look at the content - I do not always want to edit the document - maybe just want to see if it is complete or if there is a query about some of the content I want to check the relevant part of the document.

                                      For files that the browser can just show (txt, pdf) this should be quite easy.

                                      Update: DB search shows that 60% of the current WF files are doc or docx – text and pdf are 29 %.

                                      My assessment for now: wait for more votes or comments

                                      If a person submits comments when completing a task, notification should be sent to the workflow manager. IMS Team note: Not sure this is required. The manager will likely be assigned the next task that involves checking the comments.

                                        In consultation w ME Support agreed that best solution is new notification option that includes the comments, and lists additional attachments. Notification to be sent as long as either is present.

                                          There have been multiple requests related to CCing task emails over the years.

                                          To be able to prioritise this, we need a clearer picture of exactly when this is needed.

                                          As I wrote on a related idea: “I have major concerns about CC’ing ticket emails: sharing a ticket means we lose track of who actually completed a task. (It’s fine for information emails of course.)”

                                        • Automate referee ticket

                                          As an ME, it would be helpful if Archie could automatically send a ticket for the refereeing task to the referee following a 'Yes' response to the initial invitation. This would save some time and avoid possible delays inherent in manual activation of the task. Would also help to improve efficiency in the editorial process.
