Please note that we are only expecting to make a few improvements to Archie for the moment. Our resources need to be focussed on advancing other critical projects, such as RevMan. Your suggestions are still very welcome and will be collected, but they are not likely to be implemented in the immediate future.

Tell us what you need.
Start with a short label and then a fuller description. If you can, try to include a ‘user story’ as the first line of the description. A user story is about clearly telling is who you are, what you want and why you need it.

How can we improve Archie?

  1. Separate Rejected titles from Vacant Titles

    As an ME I want to clearly separate rejected titles from vacant titles, so author teams do not contact me in vain.

    In the Vacant Titles folder, titles are either filed under Active or Inactive. Review authors often contact to ask if they can take on one of the titles listed under Inactive. This is misleading because in some cases the rejected titles are listed under this heading.

    Possible changes: either change the heading from Inactive to Rejected titles, or add a new status (and heading) for Rejected titles?

      Having consulted with ME Support on CRGs’ needs for storing and sharing information on Vacant titles, is clear that we need to clearly flag Rejected titles separately inside Archie.

      Work on this may be impacted by/impact the work on the central list of Priority Review.

      • Electronic review proposals

        There has been some informal discussion about the potential for developing an electronic/automated process for review proposals. As a Managing Editor, I would find this helpful and it could potentially save precious time. At present, all proposals are managed via email and/or the standard Review Proposal Form (RPF [Word doc]). All information from the RPF needs to be manually transferred to Archie, in a Title Registration workflow.         • Ability to assign a new person to a task in the 'Insert task' window

          When inserting a task into a workflow 'on the fly', quite often it is to seek advice from someone who isn't otherwise connected with the workflow (and hence isn't already listed under the 'People' tab of the workflow as a CRG advisor or referee). This means that after clicking 'insert task', you have to go back out of that screen and go to the 'People' tab to add the person as a CRG advisor or referee, then go back to 'Task' tab and insert task again.             This is desirable, but would require a reasonable amount of work for limited gain. We will take a further look at this should it gain further support.

          • Receive automatic notification when someone is assigned Role X in Archie

            We would like to receive automatic notification when someone is assigned the role of TSC in Archie so that the support team can contact them to offer induction & mentoring. (And of course, this feature could be applied to other roles so that it would be of value to others within Cochrane)

            • “Proposed Title” heading in Archie that is not publicly visible

              To add a new heading “Proposed Title” in Archie that is not publicly visible. This idea was suggested at the MEs meeting in 2013, supposedly so when you are still figuring out a new title with a group, another authors doesn't see it and try and register the title too.

                  UXG agreed on 15 April.

                  Will be implemented so it is easy to see when a reveiw in Editorial phase is missing COI forms. Will also consider the commnent that the forms should be sent/required as part of submitting for editorial approval.

                • Add task 'Send thanks/feedback to referees and advisors'

                  This task should be added to Title Registration, Protocol and Review Development workflows. CRGs may wish to send thanks and feedback (eg. by way of the collated editorial comments) to their referees, but there does not at present appear to be a task for this - neither standard nor optional.

                    Implemented: as an interim improvement, this task is now in the set of predefined custom tasks that CRGs can easily insert into their custom templates.


                    This should be included as default task the next time the templates are updated.

                    Note: currently CRGs have the option of manually adding this as a custom task to all their relevant templates.

                    • Improve 'Compare' function in Archie

                      Copy-editors regularly change the format of headings within reviews in RevMan (e.g. from level 3 to level 4). When these reviews are then viewed in Archie using the 'Compare' function, the text that follows the adjusted headings (within the relevant sections) all appears to have been changed - although no changes may have been made to it. This means that authors spend time trying to spot changes that have not been made, and it makes them very frustrated. Would it be possible to tweak the 'Compare' function so that it restricts highlighting to the adjusted headings only in these circumstances?

                          When attaching review versions to a workflow task email, you can choose the version you wish to attach and the version number is displayed in the field to confirm the version you are about to send to a recipient of a task, the version number is not provided in the attachment which is received by the recipient and the system doesn't record which version was attached to the email.                             An account of an author that is not longer linked with any reviews or entities, with the role Author mark as inactive, should make the Archie account inactive as well as it makes no sense to have an active Archie account if you are not an Active Contributor (who needs an Archie account) to a CRG.

                                As a Cochrane contributor I want to easily manage all my email list subscriptions on a single page, so I can get the information I need and want.

                                As group administrator I want the group 's email list to be automatically updated based on Archie membership, so I don't have to do this in two places.

                                    When the vacant title is created, Archie checks for overlapping titles. However, when the Vacant title becomes a Registered title, there is no check for overlap. Given that a vacant title can sit in Archie for years before it is registered, it is important that a further check for overlapping titles in Archie is conducted at the Registration stage as well.

                                          The Policy Resource supports the case and does say that “Licence for publication form: No licence for publication form is required for the deceased author, as advised by our publisher, John Wiley & Sons, Ltd.”

                                          As a user having problems logging in, I want helpful suggestions to appear straight away, so that I don't have to spend time asking for help.

                                          Once a user has failed to login once, text explaining the most common problems should automatically appear.
